Annual Maintenance Contract (AMC) for Conveyor Systems

Objective

The objective of Annual Maintenance Contract (AMC) is to ensure efficient, safe, and uninterrupted operation of the conveyor systems installed at Client Premises by carrying out scheduled preventive maintenance and prompt breakdown support, thereby reducing downtime and extending equipment life.

Equipment Covered

This AMC shall cover all conveyor systems installed at the client’s facility, including but not limited to:

Belt conveyors

Roller conveyors

Chain conveyors

Associated drive units, motors, gearboxes

Pulleys, rollers, idlers, bearings, couplings

Conveyor supporting structures and guards

Preventive Maintenance Services

Preventive maintenance shall be carried out as per the agreed schedule (monthly / quarterly / as required) and shall include:

Visual inspection of conveyor structure, alignment, and condition

Inspection of belts, chains, rollers, idlers, and pulleys for wear and damage

Belt tracking, tensioning, and alignment correction

Lubrication of bearings, chains, gearboxes, and other moving parts

Inspection of motors, gearboxes, couplings, and drive assemblies

Tightening of fasteners, mountings, and supports

Cleaning of conveyor components and working areas

Inspection and verification of safety guards and emergency stop systems

Breakdown Maintenance Services

Attending breakdown calls during agreed working hours (or 24×7 if specified)

Fault diagnosis and corrective maintenance of conveyor systems

Rectification of mechanical and operational issues

Restoration of conveyor operation in the minimum possible time

Recommendation for repair or replacement of failed components

Electrical & Instrumentation Support (If Applicable)

Inspection of conveyor motors, wiring, sensors, and limit switches

Checking of control panels, starters, and VFDs

Functional testing of interlocks and emergency stop circuits

Spares & Consumables

Supply of spare parts shall be chargeable, unless otherwise specified under a comprehensive AMC

Contractor shall recommend critical spares to be maintained on-site

Replacement of consumables such as belts, chains, rollers, bearings, and lubricants based on actual condition and approval

Manpower Deployment

Deployment of trained and skilled maintenance technicians for scheduled visits

Supervisor or service engineer support as and when required

Documentation & Reporting

Preventive maintenance checklist for each service visit

Breakdown maintenance reports with details of faults and actions taken

Equipment health status report and improvement recommendations

Record of replaced and recommended spare parts

Exclusions

The following are excluded from the scope unless specifically agreed in writing:

Major overhauls, redesign, or system modifications

Capacity enhancement or relocation of conveyors

Structural fabrication or civil works

Damage due to misuse, accidents, fire, flood, or abnormal operating conditions

Power supply issues or external electrical faults

Safety & Compliance

All maintenance activities shall be carried out in compliance with Indore Petrocon Industries’ safety rules and statutory requirements

Use of appropriate Personal Protective Equipment (PPE) is mandatory

Contractor personnel shall follow all site safety and work permit procedures

Contract Duration

AMC duration: 12 months or as per Client Requirement

Contract may be renewed upon mutual agreement
